Event Co-ordinator Intern (Bilingual)

Duration: 

  • Full-time summer contract position (4.5 days/week)
  • July 6, 2025 – August 28, 2025 (8 weeks)

Compensation: $20.00/hour for 35 hours/week

Location: Hybrid (Toronto) or Remote (Ottawa)
For remote work, we require that the individual have a reliable computer, good internet access and a dedicated (quiet) workspace. For hybrid work, workplace accommodations can be made. Position Summary  

The Event Co-ordinator intern (Bilingual) assists the Manager, Events, Learning and Development and the Conference Coordinator in planning the annual Cannexus conference. Working collaboratively with the Manager, Events, Learning and Development and other CERIC colleagues, this individual works on logistical support to successfully execute the Cannexus conference (hybrid, virtual or in-person). The intern will have some knowledge of industry trends and a general knowledge of conference/event planning and development. 

Core Responsibilities 

Cannexus Conference Co-ordination 
  • Co-ordinate communications and respond to inquiries from conference attendees, exhibitors and speakers in French or English as required. 
  • Develop French language version of speaker and exhibitor documentation. 
  • Update Cannexus Critical Path on an ongoing basis in collaboration with the Manager, Events. 
  • Maintain and update Sessions and Speakers databases on an ongoing basis, ensure approved biographies, photos and session abstracts are available for the final conference program. 
  • Assist with uploading of Speakers, Agenda, Exhibitors to the virtual conference platform, update as required. 
  • Assist with the editing of sessions content as required. 
  • Assist in creating and distributing engaging e-blasts and email campaigns to support events, webinars, programs and organizational outreach  
  • Review, clean and update contact databases in Mailchimp and Salesforce, ensuring accuracy, removing duplicates and supporting audience segmentation 
Miscellaneous Activities and Duties  
  • Attend and participate in monthly Events & Marketing calls. 
  • Actively participate in team engagement activities. 
  • Perform other duties, as assigned. 
Education and Experience 
  • Bilingual (English/French) 
  • Diploma or certificate in event management, communications or related area 
  • Minimum of one year of experience in a similar role
Skills and Qualifications 
  • Good project management and time-management skills. 
  • Good written and oral communications skills, French and English. 
  • Demonstrates initiative, creativity and resourcefulness. 
  • Demonstrates good judgement and decision-making skills. 
  • Demonstrates excellent customer service skills. 
  • Demonstrates excellent attention to detail. 
  • Good working knowledge of Microsoft office suite and database products (Salesforce, Excel). 
  • Knowledge of online registration systems. 
  • Experience with a variety of online communications tools and virtual platforms. 

Additionally, this position is being funded in part by the Canada Summer Jobs program. As such, the hire MUST be: 

  • between 15 and 30 years of age (inclusive) at the start of employment; 
  • Canadian citizens, permanent residents, or persons to whom refugee protection has been conferred under the Immigration and Refugee Protection Act; 
  • and have a valid Social Insurance Number at the start of employment and be legally entitled to work according to the relevant provincial or territorial legislation and regulations.
